Accounting & HR Administrator
Location: McMinnville Area, OR
Pay: $33.00 - $35.00 per hour

We are seeking an experienced accounting professional to oversee day-to-day bookkeeping, payroll, accounts payable, HR administration, and financial reporting for a growing project-based business. This position requires someone who is highly organized, detail-oriented, and comfortable managing a variety of accounting and administrative responsibilities independently.

Key Responsibilities

Accounting & Accounts Payable

  • Enter vendor invoices into QuickBooks and maintain supporting documentation.
  • Assign project codes and expense categories for job cost tracking.
  • Enter and track customer invoices and payments.
  • Process and maintain company credit card transactions.
  • Maintain accurate vendor records and chart of accounts.
  • Organize and maintain electronic accounting files and records.
  • Document and maintain accounting procedures.

Payroll & Benefits

  • Process semi-monthly payroll, including overtime calculations and PTO tracking.
  • Submit payroll tax payments and related reporting.
  • Process employee reimbursements.
  • Administer and track employee 401(k) contributions and related documentation.
  • Maintain payroll and employee compensation records.

Vendor & Subcontractor Management

  • Process vendor payments in accordance with payment terms.
  • Verify subcontractor invoicing and process payments.
  • Maintain subcontractor documentation, including W-9 records.
  • Prepare 1099 information and support certified payroll requirements as needed.

Financial Reporting

  • Prepare monthly Profit & Loss and Balance Sheet reports.
  • Complete monthly bank, credit card, and account reconciliations.
  • Assist with year-end accounting activities.
  • Monitor payroll tax reporting and resolve discrepancies.

Human Resources Administration

  • Maintain employee personnel files.
  • Process new hire paperwork and onboarding documentation.
  • Track employee benefits and compensation information.
  • Maintain employment-related records and documentation.

Compliance & Annual Responsibilities

  • Track and renew required business licenses.
  • Assist with annual workers' compensation audits.
  • Support retirement plan reporting and documentation.
  • Maintain accounting and operational procedure manuals.

Qualifications

  • 3+ years of full-charge bookkeeping or accounting experience.
  • Strong QuickBooks experience required.
  • Experience processing payroll and managing benefits administration.
  • Knowledge of accounts payable, reconciliations, and financial reporting.
  • Experience in construction, manufacturing, project-based, or contractor environments is a plus.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and manage multiple priorities.
